ELECTRIC POWER Event Updates | COVID-19
Per the guidelines set forth by the Centers for Disease Control (CDC) on March 15, the ELECTRIC POWER Conference and Exhibition has been postponed and moved to September 28-October 1, 2020 at the Kansas City Convention Center in Kansas City, Missouri.
We are excited to share that we have expanded our 2020 event to include EP Digital, a series of events that will run over the course of the next few months, bringing the experts directly to you and providing the opportunity to connect with peers 1:1 from the comfort of your home office, remote office, or facility.
OUR COMMITMENT TO SAFETY
The ELECTRIC POWER team is committed to creating exceptional experiences that ignite connection and commerce, especially through our in-person events this fall. The health and safety of our event attendees, exhibitors, and sponsors is of the utmost concern and priority for the ELECTRIC POWER team. In an effort to maintain the health and well-being of all participants at our events, the ELECTRIC POWER team has implemented new event standard operating practices and procedures.
High traffic areas (such as handrails, escalators, doorknobs, elevator buttons, etc.) will be disinfected by the venue staff every two hours.
Hand sanitizer stations will be available throughout the event.
Masks will be provided for any attendee who wants one.
Physical distancing stickers and signage available for attendees and exhibitors.
Larger aisles and one-way aisles will be implemented on our exhibit floor.
Conference sessions will be set to allow for proper physical distancing.
Self-serve registration will be implemented whenever possible and physical distancing practices will be implemented (no lines, wider registration counters if help is needed).
Food and beverage services will be provided in a minimal contact way (i.e. no buffets, pre-packaged food is preferred and catering staff will be masked and gloved).
Clean your hands often
- Wash your hands often with soap and water for at least 20 seconds especially after you have been in a public place, or after blowing your nose, coughing, or sneezing.
- If soap and water are not readily available, use a hand sanitizer that contains at least 60% alcohol. Cover all surfaces of your hands and rub them together until they feel dry.
- Avoid touching your eyes, nose, and mouth with unwashed hands.
Avoid close contact
- Avoid close contact with people who are sick
- Put distance between yourself and other people if COVID-19 is spreading in your community. This is especially important for people who are at higher risk of getting very sick.
Q: When is the ELECTRIC POWER Conference and Exhibition postponed until and where?
A: The 2020 event will now be held September 28-October 1, 2020 at the Kansas City Convention Center in Kansas City, MO.
Q: If I was already registered to attend or exhibit at ELECTRIC POWER before it was postponed, how does the new EP Digital + Live effect me?
A: You are automatically registered to attend the full EP Digital + Live event and have access to all of the EP Digital sessions, video networking, 1:1 Power Chats, and more via our digital platform hosted by Grip. Download the digital platform here or learn more about the platform here.
Q: Will the show feature the same content and speakers?
A: The majority of our content and speakers will remain intact although given the state of the industry our event programmers plan to integrate new timely topics and speakers as well.
At this time we are working with all our partners to reconfirm their co-located events, content and speakers.
Q: What happens to my attendee registration and registration fees?
A: All registrations will automatically move over to the rescheduled 2020 event. Attendees do not need to re-register themselves. In the event that an attendee has a schedule conflict with the new date, the attendee can opt to receive registration at a 2021 event if we are notified within 30 days of the rescheduled event date. No refunds will be issued. This applies to all attendee registrants including the Coal Users’ Group (formerly the American Coal Users’ Group) and Plant Management Institute.
Q: Will hotel reservations get automatically moved over?
A: No; all hotel reservations at the Hyatt Regency Hotel in Denver were canceled. All registrants will need to book their stay at the Loews Kansas City Hotel via our approved vendor page.
If you purchased the ELECTRIC POWER Conference & Hotel Package during registration, we will handle your 3-night hotel reservation at the Loews Kansas City Hotel.
Q: What happens with my exhibit space and/or sponsorship package?
A: Sponsorships and exhibits will be automatically rolled over to the rescheduled 2020 event. No activation elements will change. Because of the change to a new venue, we will need to place exhibitors on the new floorplan. We will respect current priorities and existing placements as much as is feasible with the new floorplan.
Sponsorship levels, package specifics, and pricing will be unchanged. With the date change, payment due date terms will shift accordingly to the same “weeks out” from the rescheduled event date.
Q: What if an exhibitor/sponsor no longer wishes to exhibit or sponsor the rescheduled show?
A: If we have collected some/all of the client’s payment, we will cancel final balances and the customer can have the option of deferring that payment collected toward ELECTRIC POWER 2021 in San Antonio. If we have not collected any payment, we’ll cancel the contract.
Q: What if the rescheduled event gets canceled?
A: We highly doubt this will happen, but in the event we have to reschedule again, we will offer exhibitors/partners the opportunity to move their spend into 2021.
Q: What about any items already ordered through your general contractor?
A: If any partner has ordered show services (electricity, labor, a/v, Internet), those services have been canceled. Partners will need to reorder once our new Exhibitor Services Kit is available, estimated to be early July.
Q: As an exhibitor or sponsor, if I’ve already registered some of my people but am not sure who will come to the rescheduled show; how do I adjust/change?
A: That’s easy. Once we announce our new schedule we’ll give you information on adjusting your team’s registrants.
